Who we are
This website belongs to AstroLab Studios Inc., 629 Eastern Avenue, Building C, Toronto, ON M4M 1E3. When this page says “we”, that’s us.
What you send us
The site has two forms, and you choose what goes in them. We need a name and an email address to write back, and a project name for an estimate; everything else is up to you.
- The contact form, on our contact page and at the foot of most pages: first and last name, email, phone, a subject, the dates you’re looking at, and your message.
- The estimate request, the last step of pricing your shoot: name, email, phone, project name, production or company, and notes, sent with the estimate itself (dates, studio days, packages, equipment and crew).
We use it to reply to you, to quote, and to plan your booking.
When you press Send
- We keep a copy in the website’s own storage, at Cloudflare, for one year. Then it’s deleted automatically.
- We email it to the studio’s inbox through Resend, the service that sends the site’s email.
- If your estimate has dates, we also start a draft of the job in the booking system the studio uses. The draft carries your name, company, project name, notes, dates and the estimate, and it’s filed under a client record with your name, email address and phone number, so we can reach you about it. If you’ve sent us an estimate before, it goes under the record we already have. The booking system doesn’t send anything on its own: it only emails you if the studio sends you something from it.
- A message from the contact form is never put in the booking system.
The studio’s own copies, in its email inbox and its booking system, are not deleted automatically. We keep them as long as we need them, for your booking if there is one and for our tax records.
Keeping the forms safe
Our forms use Cloudflare Turnstile, a check that tells people from scripts. Its code loads from Cloudflare on any page with a form. When you send, we pass Cloudflare the result of the check and your IP address to confirm it.
We also count requests from each IP address over an hour, so nobody can flood the forms. That count stops after two hours, and the entry holding your IP address is cleared out later, by a tidy-up that runs as the forms get used. Your IP address is not saved with your request.
What stays in your browser
The estimate builder saves your estimate, and the details you type into its request form, in your own browser, so they’re still there when you come back. None of it reaches us until you press Send. Once a request goes through, the project name and notes are cleared; your name and contact details stay for next time. Anything you leave untouched for 30 days is cleared automatically, and you can clear it sooner by clearing this site’s data in your browser.
Analytics and cookies
On astrolab.studio we use Google’s tag, for Google Ads and Google Analytics, to see how people find the site and which of our ads lead to an enquiry. It loads on every page and sets Google’s cookies, and Google receives your IP address, the pages you visit and how you arrived. When you send a message or an estimate request, it tells Google that a request was sent, with the estimate’s figure and its reference number, never your name, your contact details or what you wrote. The rest of the site’s own code sets no cookies.
You can turn off personalized ads in Google’s My Ad Center (myadcenter.google.com), or block this site’s cookies in your browser.
Other companies on some pages
Some pages show things from other companies. When one loads, your browser connects to that company directly. It sees your IP address and may set cookies of its own.
- Vimeo plays the videos on the home page, the tour page and the About page. They load with the page, with Vimeo’s do-not-track setting turned on.
- YouTube’s privacy-enhanced mode (youtube-nocookie.com) plays the three videos on the About page, which load without a click as you scroll down.
- Every other video, on the home page, The Stu Sessions page and in the journal, loads only when you press play.
- LinkedIn shows the post on the Accessibility page, which loads without a click.
- OpenFreeMap draws the maps on the home, contact, events and getting here pages, with map code from cdnjs and jsDelivr. Each map loads without a click when it comes near the screen.
- Your maps app opens only when you click for directions.
Where it’s handled
We use other companies for some of this work. Cloudflare runs this site, Resend sends its email, Google holds the studio’s email inbox, and the drafts go into the booking system the studio uses. Some of these service providers, Cloudflare and Resend among them, may process your information outside Canada, including in the United States.
Like any web host, Cloudflare sees your IP address when you visit. It keeps a technical log of what the site’s code does for up to seven days, so we can fix problems.
Your choices
You can ask to see what you’ve sent us, ask us to correct it, or ask us to delete it. Reach us through our contact page, call +1-647-874-4321, or write to AstroLab Studios Inc., 629 Eastern Avenue, Building C, Toronto, ON M4M 1E3.
If you’re not happy with how we’ve handled your information, you can complain to the Office of the Privacy Commissioner of Canada.
